Coffee for a Waiting Room: Setting Up a Customer Coffee Station
A waiting room coffee station needs three things: a brewer that keeps coffee hot without a burner, like an airpot or a drip brewer with a thermal carafe; a smooth coffee people will drink black; and enough of it. Plan on about 35 eight-ounce cups per pound at standard strength. Ten cups a day, five days a week, takes about 6 pounds a month (our estimate).
We are Der Hoffskeller, a family roaster in Cedarburg, Wisconsin. We roast one coffee in cast iron on our family farm, and we run a self-serve coffee station in our barn every day from 9 to 5. Here is how to set one up for your customers.
Pick a brewer that keeps coffee hot without a burner
A glass pot on a hot plate is the classic setup, but the longer coffee sits on a burner, the more cooked it tastes. An insulated container keeps it hot with no added heat.
| Setup | Holds (8 oz cups, approx.) | Good for | Keep in mind |
|---|---|---|---|
| 12-cup drip brewer with a thermal carafe | 7 to 9 | Banks, small offices, a salon with a few chairs | Someone brews each pot |
| Airpot (pump pot), 2.2 to 3 liters | 9 to 12 | Front desks, salons, barbershops, clinics | Fill it from a brewer |
| Percolator urn, 30 cups | about 18 | Dealership lounges, gyms, busy lobbies | Needs an outlet and time to perk |
A drip brewer with a thermal carafe
For a small room, a 12-cup drip brewer with a thermal carafe is often enough. Coffee maker "cups" are usually 5 or 6 ounces, so a full pot fills seven to nine 8-ounce cups. Start with two tablespoons of ground coffee per six ounces of water (20 tablespoons for a 60-ounce pot) and adjust to taste. A pound makes about four to five full pots (estimate).
An airpot for a front desk with no one free
An airpot is an insulated pump pot. Fill it from your brewer, set it on the counter, and guests pump their own cup, so nobody at the desk stops to make drinks. It needs no outlet. In a busy room, keep two: one out, one brewing.
A percolator urn for a room that pours all day
A 30-cup urn holds roughly 150 ounces, about 18 eight-ounce cups, since urn "cups" are about 5 ounces. Our own station in the barn runs on a percolator urn. With ground coffee, a paper filter made for the basket keeps fine grounds out of the cup. More in the best coffee for a percolator.

How much coffee a waiting room uses
There is no reliable published figure for how many waiting customers take a cup, so use your own count: customers a day × the share who take coffee = cups a day. Then divide by about 35, the 8-ounce cups a pound makes at standard strength (the Specialty Coffee Association's Golden Cup ratio).
A salon with 20 clients a day where about half take coffee pours about 10 cups a day. Open five days, that is roughly 1.4 pounds a week. The "half" is our assumption, so count cups for a week, including what you pour out at closing.
| Cups a day (8 oz) | Coffee a week, open 5 days (estimate) | A delivery that matches |
|---|---|---|
| 5 | about 0.7 lb | Queen Hoff 3.5 lb, monthly |
| 10 | about 1.4 lb | King Hoff 7 lb, monthly |
| 20 | about 2.9 lb | King Hoff 7 lb, every 2 weeks |
| 30 | about 4.3 lb | Bulk 20 lb, monthly |
| 40 | about 5.7 lb | King Hoff 7 lb, weekly |
| 70 | about 10 lb | Bulk 20 lb, every 2 weeks |
In six-ounce cups, 35 per pound matches our own rule of one pound for every forty to fifty cups. Open six days? Add about a fifth. Brewed lighter, at diner strength, a pound stretches up to about 64 cups.
Notes by type of business
- Salons and barbershops: offer a cup when the client sits down. One airpot near the front covers a few chairs.
- Car dealerships: service customers may wait an hour or more, and some take a second cup, so use an urn or two airpots.
- Clinics and dental offices: set the station in the waiting area, with lidded cups.
- Gyms: brew right before early classes.
- Banks: a 12-cup brewer with a thermal carafe each morning may be enough. If staff share the pot, see the best coffee for the office.

What it costs per cup
| Size | Price | Per pound | Per 8 oz cup (estimate) |
|---|---|---|---|
| Big Hoff Bag 2 lb, one-time | $34 | $17.00 | about $0.49 |
| Queen Hoff 3.5 lb, subscription | $52 | $14.86 | about $0.42 |
| King Hoff 7 lb, one-time | $105 | $15.00 | about $0.43 |
| King Hoff 7 lb, subscription | $95 | $13.57 | about $0.39 |
| Bulk 20 lb, one-time | $250 | $12.50 | about $0.36 |
| Bulk 20 lb, subscription | $230 | $11.50 | about $0.33 |
These assume standard strength, about 35 eight-ounce cups per pound. At diner strength, up to about 64 cups a pound, the Bulk subscription comes to about 18 cents a cup. Cups, lids, sugar and creamer are extra. Whether to charge guests is your call.
Serve a coffee people drink black
Station coffee should taste good with nothing in it, because the creamer runs out and some guests take it black. Ours is 100% Colombian Supremo Arabica, roasted medium-dark in the German Norwegian style, and customers describe it as smooth and low in acid. More in coffee you can drink black.

A simple coffee station checklist
- A brewer: airpot, drip brewer with a thermal carafe, or percolator urn
- Filters that fit it, plus a scoop kept by the brewer
- Insulated hot cups with lids, or a rack of washable mugs
- Sugar, sweetener and stir sticks in a small caddy
- Creamer: shelf-stable cups, or half-and-half in a small fridge
- Napkins and a trash can
- Hot water and tea bags for guests who skip coffee
- A routine: brew before opening, check at midday, empty and rinse at closing
Brew smaller batches more often instead of one big pot that sits all afternoon. Keep the bag sealed between scoops in a cool, dark cupboard, not on top of the warm brewer. Why sealing matters: Mason jar coffee storage.

Waiting room coffee questions
How much coffee do I need for a waiting room?
Multiply customers a day by the share who take coffee, then divide by about 35, the 8-ounce cups a pound makes at standard strength (estimate). Ten cups a day, five days a week, is about 6 pounds a month, which a monthly King Hoff (7 lb) covers.
What is the easiest setup when no one is free to make drinks?
An airpot. Fill it, set it out, and guests pump their own cup. It keeps coffee hot without a burner, so it does not taste cooked by afternoon.
Will your ground coffee work in my brewer?
Yes. Our ground coffee is one medium-fine grind that works for every brew method, from drip brewers and percolator urns to espresso. If you grind in house, order whole bean.
How do I put my business name on the order?
Checkout has no company-name field, so type your business name with your name or on the Apt, suite line. Your confirmation email lists what you ordered and the total.
Is there a business price?
Prices are the same for everyone, and bulk is the discount: Bulk 20 lb is our lowest price per pound, $12.50 one-time or $11.50 on a subscription. Each extra Big Hoff Bag in an order is $4 off, and each extra Queen Hoff or King Hoff is $10 off.
Can I change deliveries if we have a slow week?
Yes. Through the secure link we email you, you can skip a delivery, pause, move a date earlier or change sizes. Subscriptions have a two-delivery minimum.
Do you have decaf?
No. We make one coffee, with no decaf and no flavors. Hot water and tea bags at the station cover guests who skip caffeine.
Is there a minimum order?
No. Online orders are limited to 60 items; for more, use our contact page or call 414-375-5804.
